Microsoft 365 and Google Workspace are set up once, usually carefully, and then reality happens. People join and leave, someone shares a folder to get a job done on a Friday, a trial licence quietly becomes a renewal, an app gets granted access and is never looked at again. None of it is negligence. It is what a live system does when no one has been given the job of tending it.
Offboarding usually gets the obvious part right, which is disabling the sign-in. What tends to survive is everything attached to that person: files owned by their account, a shared mailbox they still have rights to, an app password issued years ago, a personal device still enrolled. The tidy version archives the mailbox, transfers ownership of their files to a named colleague, revokes tokens and sessions rather than only the password, and then releases the licence. Done in that order, nothing is lost and nothing is left open.
The common pattern is paying for more seats than people, while some of the people you do have sit on a licence tier above what their role needs, and a handful sit below what they actually use. Reviewing assignment against real usage two or three times a year usually pays for the review several times over. Anyone-with-the-link sharing is genuinely useful and genuinely hard to retire, because the link keeps working long after the project ends and nobody remembers creating it. Expiry dates on external shares, a periodic report of what is shared outside the business, and a default that favours named access over open links keep this manageable without making collaboration painful.
Someone signs in to a tool with their work account and grants it permission to read mail or files. That consent persists whether or not the tool is still in use, and it is not visible unless somebody looks. Reviewing granted permissions and deciding whether users can consent on their own behalf is a small piece of configuration that closes a route people rarely think about.
Both Microsoft and Google are explicit that they guarantee the availability of the service, not the recoverability of your content. Their job is that the platform is there; keeping a copy of what you put in it is yours. Deleted items sit in a recycle bin for a limited window and then go, and a compromised account that deletes deliberately can empty that bin too.
So part of managing a tenant is making sure something independent is holding a copy, and that somebody has actually restored from it. A backup nobody has tested is a belief rather than a control. We cover that with Microsoft 365 backup and Google Workspace backup, and the wider recovery picture sits in business continuity and disaster recovery.
The rest is unglamorous and matters: multi-factor enforced rather than merely available, conditional access rules that fit how your team actually works, admin accounts separated from everyday accounts, and someone reading the alerts. That is the day-to-day of cloud management, and it is mostly invisible when it is being done properly.
