Where the gap actually is

The bin empties, and that is by design

Google Workspace is genuinely resilient. Your data is replicated, the service stays up, and hardware failure is not something you need to think about. That is availability, and Google is clear that it is what they are responsible for. Retention is a different question, and the answer is a countdown rather than an archive.

Items removed from Gmail or Drive sit in trash for a limited period and are then purged. An administrator has a further short window to recover some of it, and after that the copy is gone rather than archived somewhere deeper. Most data loss we are called about is not dramatic: someone tidied a shared folder in good faith, and the discovery came weeks later when a colleague went looking for a file.

Files in a personal My Drive belong to that account. Suspend or delete the account without transferring ownership first and the files go with it, including anything they had shared with the team, which stops resolving for everyone else. Shared Drives avoid this because the team owns the content rather than an individual, but almost every business has years of work sitting in personal Drives regardless.

Accidental deletion is recoverable within the window. Deliberate deletion by someone who has taken over an account is designed to defeat exactly that, and emptying the trash is part of it. This is the case that separates a backup from a retention policy: an independent copy sits outside the account, so nothing done inside it can reach the copy.

Drive for desktop keeps local and cloud copies in step, which is the point of it. If files are encrypted on the laptop, the sync does its job and carries the damage upward. Point-in-time restore is what gets you back to the state before the change, rather than trying to unpick which version of which file is intact.

What good looks like

The test is the restore, not the backup

Backups fail quietly. They run, they report success, and the problem only shows up on the day someone needs a file back. That is why the measure worth caring about is whether a restore has actually been performed recently, not whether the job is green.

What we look for is granular recovery, so a single message or one folder can come back without restoring an entire account; coverage across Gmail, Drive, Shared Drives, Contacts and Calendar rather than mail alone; a retention period long enough that a deletion noticed months later is still recoverable; and a copy held independently of the Workspace tenant, so a compromise of the tenant cannot reach it.

Two practical questions are worth asking of any arrangement, including ours: how far back can you go, and how long would a realistic recovery take. If nobody can answer both, the position is not yet a backup. If you also run Microsoft, the same reasoning applies there and is covered by Microsoft 365 backup, with the broader plan in business continuity and disaster recovery.
