Overview
Move to the cloud without the headaches
Migrations go wrong when they’re rushed or under-planned, lost data, downtime and frustrated staff. Done right, they’re barely noticeable.
As a Microsoft Cloud Solution Provider, WhizzIT plans and delivers migrations to Microsoft 365, Azure and Google Workspace carefully, with data integrity and continuity built in.
Migrations are planned around your working week and run in stages, so mailboxes, files and identities move without a weekend of downtime. Across 2025 our average first response time was 9 minutes and our average resolution time was 6 hours, measured across every ticket we handled. We are a team of five engineers supporting more than 30 UK businesses, from two-user teams to organisations of 150+ users. WhizzIT is Cyber Essentials certified and a Microsoft Cloud Solution Provider, so our security fundamentals are independently assessed rather than simply claimed.

Timescales
How long a migration really takes
For around 50 users, budget roughly seven days of actual configuration work from us. Here is where that time goes.
-
01
Discovery and readiness
Before anything moves we find out what actually exists. How much mail and how many files, who owns the shared mailboxes nobody admits to using, which applications sign in with the old system, what state the devices are in. This is also where most nasty surprises get caught, while they are still cheap.
-
02
Build and pilot
We set up the new tenant properly, with security baselines, multi-factor authentication and licensing sorted from the start rather than retrofitted later. Then a small pilot group moves first. It is far better to find the awkward bits with four willing people than with all fifty at once.
-
03
Bulk move and cutover
Mail and files copy across in the background over several days while everyone carries on working in the old system. The switch itself is the short part, scheduled deliberately for a quiet window, followed by a few days of us being close by while people find the things only real use uncovers.
Experience
Where migrations go wrong
Moving mailboxes is the easy bit. Almost every migration that goes badly goes badly for the same handful of reasons, and none of them are the mail.
Caught during discovery
- Shared mailboxes, distribution lists and meeting rooms
- Folder permissions and who really needs what
- Applications signing in with the old accounts
- Mobile devices with mail on them
- Mailbox and file sizes against your new licences
- Old subscriptions to cancel after go live
-
01
The things nobody owns
Shared mailboxes, distribution lists and meeting rooms get forgotten because no single person owns them, then reappear the morning after cutover when nobody can book anything.
-
02
Permissions and connected apps
Permissions on shared folders are assumed to carry over neatly and rarely do, so somebody either loses access to a folder they need or quietly gains access to one they should not have. Third party applications that authenticate against the old system stop working until each one is reconnected, and the list of them is always longer than anyone expects.
-
03
Phones, and the licences still billing
Everyone remembers the laptops. Half the workforce has mail on a phone that nobody has recorded anywhere, and if that is not handled they spend cutover morning locked out and irritated. Old licences are the last one, still quietly billing months later because nobody cancelled them.
-
04
None of it is difficult
It just has to be written down beforehand and worked through, which is precisely what the discovery stage is for.
Google Workspace to Microsoft 365
The move we get asked about most
Google to Microsoft 365 has its own quirks, and they are worth knowing before you start rather than after. Google Docs, Sheets and Slides are not Office files. They convert on the way across, and anything with heavy formatting or a script behind it needs checking rather than assuming. Gmail labels are not folders either. A message can carry three labels at once, a folder structure cannot hold that idea, so decisions have to be made about what the mailbox looks like afterwards.
01 / 03
Shared Drives map onto SharePoint and Teams, which is usually an improvement, but it is a genuine restructure rather than a copy and paste. Calendar resources such as meeting rooms need rebuilding.
02 / 03
Any app that people sign into with their Google account has to be pointed at Microsoft instead, and that includes the ones nobody mentioned in the kick off meeting.

Frequently asked questions

020 4634 2518What can you migrate?
Email, files, identities and applications across Microsoft 365, Azure and Google Workspace, including Google to Microsoft 365 moves. We also migrate from on premise servers and older hosted Exchange setups, which usually comes with the added job of deciding what genuinely needs to come with you and what has just been sitting there for a decade.
How long does a migration take?
For around 50 users, budget roughly seven days of actual configuration work from us. That is effort rather than calendar time. End to end it usually spans two to three weeks, because the bulk copy runs in the background while everyone keeps working, and the pilot group needs a few days of real use before the rest follow them across.
Will we lose data or have downtime?
Data integrity is validated throughout, and mail and files copy across in the background while your old system stays live, so people keep working during the move. The cutover itself is scheduled for a quiet window rather than the middle of a working day. Ixia Clinical moved ten users and over a terabyte from Google Workspace to Microsoft 365 without disruption to clinical work.
What happens to our Google Docs and Sheets?
They convert to Office formats on the way across. Straightforward documents come over cleanly. Anything with complex formatting, or an Apps Script behind it, needs checking afterwards, and heavily built spreadsheets sometimes want rebuilding rather than converting. We flag those during discovery so there are no surprises on the day.
Can staff keep working during the migration?
Yes, and that is the whole point of running it in stages. The old system stays live while data copies across in the background. The pilot group switches first, then everyone else, so at no point is the business waiting on a single big overnight cutover to succeed.
Do you support us after go live?
Yes. The first week afterwards is when the real questions arrive, because that is when people hit the things a test plan never covers. We stay close during that period, and we can take on ongoing management once you are settled, as a Microsoft Cloud Solution Provider with support and escalation coming direct from us.
